What should my next virtual volunteering video be?

Since the start of the global pandemic last year, I have been creating and sharing videos to help organizations understand virtual volunteering and to quickly create roles and activities for online volunteers. I share them on my YouTube channel. These videos include:

I’m a professional consultant, and I cannot pay my bills with my goodwill and sharing free videos. However, sacrificing some – indeed, a lot – of my potential income to try to mitigate at least some of the negative impacts of the pandemic on nonprofits has been my way of feeling like I’m doing something worthwhile in this intense, tough time, as a way to feel not quite so helpless.

So, let me continue to try to help in my own small way: what would you like my next free training about virtual volunteering to be? What is a subject I could cover in just 5 to 15 minutes that would help your nonprofit, charity, school, NGO, library or other cause-based program regarding virtual volunteering? Please note the subject you need most in the comments below.

While I don’t think these videos nor my blogs are a substitute for reading my book, The Last Virtual Volunteering Guidebook, I do believe that the information can help nonprofits who already have experience involving volunteers in traditional settings – onsite, face-to-face – pivot quickly in creating roles and tasks for online volunteers. But if you want to deeply integrate virtual volunteering into your program and expand your engagement of online volunteers, such as in an online mentoring program or other scheme where online volunteers will interact with clients, you will not find a more detailed guide anywhere for working with online volunteers and using the Internet to support and involve all volunteers – even after home quarantines are over and volunteers start coming back onsite to your workspace. And purchasing the book is far, far cheaper than hiring me as a consultant or trainer regarding virtual volunteering – though you can still do that!

Reflections on Virtual Volunteering in 2020 (& My Most Popular Blogs for the Year)

When the end of a year approaches, I look over my visitor statistics for my blog and my web pages to see which of my resources were the most popular in the last 12 months. It helps me to know what topics resonated in that year – it’s always something different – and what promotion is most effective. It’s something your nonprofit or government agency should do as well, regarding your online resources (your web site, your blogs, etc.). It’s not just looking at numbers – it’s looking at when pages launched, what people clicked on to get to a resource, etc.

As is true every year, my blogs that got the most traffic are the ones that other people amplified, posting about them on their own social media channels, or referring to them in workshops they did, so if that’s you, THANK YOU. I hope my sharing of others’ material on my social media accounts was also helpful to colleagues and many people I admire as well.

In 2019, I wrote about communications, community relations and ethics in nonprofits far more than volunteer engagement. I had intended to do the same in 2020 – it’s not that I want to downplay volunteer engagement, or not to explore it anymore, but I find those other subjects just as interesting, maybe more, and I work professionally in those fields even more than I do regarding volunteer management. Plus, I just wasn’t sure what else there was to say about virtual volunteering, a subject I have researched and talked about since the mid-1990s.

But then came the novel coronavirus and the massive pivot by thousands of organizations for the first time to virtual volunteering – and suddenly, I was reviving lots of my previous work, filling lots of orders for my book on virtual volunteering, trying to keep up with requests to lead trainings and producing a lot of videos on YouTube to bring everyone up-to-speed about the history and basics of virtual volunteering.

I promote my blog, web site and videos through my Twitter accountmy Facebook account, my LinkedIn account, some Subreddits, and some LinkedIn groups. I’m a one-person shop and create and promote these resources entirely on my own – and it’s getting harder and harder to get my voice out there amid a growing sea of competition for attention. Even in the area of virtual volunteering, lots of new “experts” have emerged (please remember that, to be an expert, someone should have experience engaging volunteers online and being an online volunteer themselves).

As I say each year, the blog visitor numbers are great – but the emails and comments on resources are what really keep me going, so please keep them coming!

I also had a look at my most popular web pages. Some were quite a surprise. These aren’t in the exact order of popularity:

But the two big news items regarding virtual volunteering for 2020 aren’t necessarily reflected in these stats:

  1. I’ve now identified more than 100 research and academic articles on virtual volunteering (the announcement got shared and retweeted a LOT) and
  2. virtual volunteering becoming a necessity because of the novel coronavirus, surging in popularity and being embraced by organizations that have shunned it for decades.

Over the years, and until this year, I’ve made and appeared in many videos about working with online volunteers for nonprofits I’ve been working or volunteering with, but just one about virtual volunteering that wasn’t on behalf of someone else, back in 2012. By contrast, this year, 2020, I’ve made seven videos for my own channel, including a 36-minute introduction to virtual volunteering. In fact, I made 11 additional, private videos for a consultancy I did regarding a user experience related to online volunteering. You can see all my free trainings on my YouTube channel.

It’s been exhausting to say, over and over in 2020: virtual volunteering is not new, it’s more than 35 years old. I’ve said it in my book. I’ve said it on the Virtual Volunteering Wiki. I’ve said it in a video. I’m exhausted from saying it. What I haven’t said is that I’m stunned that so many people from both the nonprofit and corporate world seem to have never heard of involving volunteers remotely, of using the Internet to engage volunteers, a WIDESPREAD, popular practice that’s more than 35 years old. It’s been disheartening to see just how many nonprofits, foundations and corporate social responsibility programs have kept themselves in the dark about virtual volunteering for decades – and I say kept themselves in the dark, because I know just how much, how often, the practice has been talked about in publications, at conferences and in presentations by nonprofits. It has taken a lot of effort on the part of these folks to ignore this well-established practice over the years. I hope that, at last, that has changed.

I’ve also had a very traumatic, challenging time professionally, one that I’m not ready to talk openly about yet. But I will say: please ask colleagues – co-workers, staff at partner organizations, volunteers you work with, etc. – how they are doing. Ask them what challenges they are facing. And ask about safety issues – bluntly ask, “Are you feeling safe in your work? Are you feeling safe online?” Be prepared to eventually hear, “No, I’m not okay. I don’t feel safe. And here’s what I’m facing…” And for anyone you know who isn’t feeling safe online, I have this page of resources regarding online harassment, defamation & libel

Your right to turn away volunteers who won’t adhere to safety measures (& your right to refuse to volunteer at an unsafe program)

Nonprofits, schools, charities, NGOs: you have every legal and moral right to require onsite volunteers to properly wear masks or face shields during service, and to ask a volunteer to leave that refuses to comply.

Just make sure that you have communicated with volunteers in multiple ways about the requirement at your volunteer sites for face masks and social distancing and any other safety measures related to COVID-19 or any other issue of concern. You should:

  • Email all volunteers directly.
  • Include the notice in your regular newsletter.
  • Add the notice to your web pages regarding volunteering with your program.
  • Post it to your online discussion group for volunteers.
  • Send a reminder to all volunteers the day before they are going to show up onsite for volunteering service.

If you can text volunteers with a reminder, do that too! You may want to do a YouTube video of your Executive Director stating this policy, for a more personal touch – as well as to show that this is a policy that is supported from the very top.

These are the requirements I believe programs should adhere to during this pandemic.

And here’s a sample of communication via email, in your newsletter or via a video:

As we have all probably heard by now, wearing a mask helps to drastically reduce the spread of COVID-19. By your wearing a mask or face shield, you help to prevent others from catching the Novel Coronavirus – remember, you may have it but not be showing any symptoms, and even if you are not showing symptoms, you can spread this virus. The safety of our volunteers, clients and staff is of paramount importance to our program, and it is only if we all wear masks or face shields and socially distance that we can continue to operate at least some of our onsite programs. This link goes to our state’s public health agency and has guidance on the proper way to wear a mask. (add in the link).

If you cannot or will not wear a face mask or face shield, you will not be able to volunteer onsite with our program at this time, but you are welcomed to help us as an online volunteer by… (add in your virtual volunteering roles here).

If you don’t feel comfortable volunteering onsite now, we completely understand, and we hope you will consider volunteering with us online by… (add in your virtual volunteering roles here).

If you have any questions, please contact… (add that person’s name and contact info).

Thank you so much for all of your volunteer support. We will get through this together, and we’re committed to all of us getting through this.

Also:

  • Your paid staff need to adhere to the same rules regarding face masks and social distancing.
  • If you think some volunteers may not be able to access a proper facemask, provide links on where to find free or affordable facemasks.
  • Tell the person who will see volunteers first at a site what they should say to someone who approaches and is not wearing a mask, or is not wearing it properly, and to whom they should report anyone who becomes upset or refuses.
  • Thank volunteers repeatedly for wearing a face mask or face shield correctly.

You may lose volunteers over this policy, but losing volunteers because of how they feel about a public health issue is far preferable to spreading COVID-19 to volunteers, clients or staff.

On the flip side, volunteers have every right to refuse to volunteer onsite at a program that does not require staff and clients to properly wear masks or face shields. Before you volunteer onsite, ask the program what measures are in place to help prevent the spread of COVID-19. Again, these are the requirements I believe programs should adhere to during this pandemic. If you decide you cannot safely volunteer, write an email saying so (and you may want to write the board of directors as well).

Why do I care? Theatre and live music performances have been a hugely important part of my life for as long as I can remember. They were my joy in grade school and my sanctuary on more occasions I could list. I believe the arts, including non-performance, like museums, play a fundamentally-important role in a community’s health.

I got my start in nonprofit management via nonprofit theatre organizations. I wrote my master’s degree thesis on the non-artistic elements necessary for theatre, dance and music to be used as a tool for public health and other community development initiatives. Months ago, I had written a blog about how arts organizations – performing arts centers, theaters, museums – have always been masters of customer relations and data management, how masterful the best of them, no matter how small, are at customer relations and customer loyalty, and turning event attendees into long term financial supporters. I consider my early professional experience at places like the Capitol Arts Center in Bowling Green, Kentucky, Hartford Stage in Connecticut and the Williamstown Theatre Festival in Massachusetts to have been pivotal in building my skilIs in data management, project management, customer relations and so much more, skills I’ve applied in every job I have ever had, including international development work in Afghanistan – yes, really. It was a blog meant to celebrate arts organizations for having oh-so-much to teach other nonprofits – and government programs and for-profit companies as well. I kept delaying the publishing of that blog. First by a week, then two weeks, then a few weeks, because things came up that seemed more urgent. I figured that I would publish it right after I got back from my epic Baja, California, Mexico motorcycle adventure.

Well, when I got back from that epic adventure, I returned to a country being ravaged by Covid-19, an inbox full of emails asking me urgently for my consulting rates regarding virtual volunteering, and GoogleAlerts filled with news of newly-launched virtual volunteering schemes (many done with no regard to safety). So that blog got pushed farther and farther on the publishing calendar.

And now, I read the draft, and I want to cry. Because live theater, live dance, onsite museum tours, live music… none of that is happening. And none of that may happen for the rest of 2020. And many nonprofits that produce these events and exhibits aren’t going to survive the year. I have so many friends that still worked in the arts in some way, or some aspect of event management, and their jobs are gone.

Sports will come back. People will watch sports on TV even with no audiences. But the arts… can they survive this? I enjoy watching filmed versions of stage productions, but so many people loathe it, and it’s true: it’s no substitute at all for seeing a performance live. Maybe I’m comfortable with viewing televised productions because, growing up in a small town In Henderson, Kentucky, things like Great Performances on PBS were my only way of seeing Broadway shows or the opera. I go back to that grateful persona, starving for access when I watch Frankenstein presented by the UK’s National Theatre Live, or the Donmar Warehouse all-female production of Julius Caesar directed Phyllida Lloyd and shown on Great Performances. So often, such televised productions of stage shows are all I have access to – and that’s true for so many others.

But I long to sit in a dark hall and watch people act on a stage. Or to stand shoulder-to-shoulder with others while hearing amazing live music. Or wander through an art museum, not thinking about being two meters away from each other person. And it looks like none of us can do that safely for the rest of 2020. And maybe through 2021. And maybe longer. And the nonprofits, and even for-profit companies, that have brought us these experiences, may not survive. And that sends me into an emotional tailspin.

And not one national political leader is talking about what to do about this.

I have a series of free, short videos on my YouTube channel that, altogether, in less than one hour, create a basic training regarding virtual volunteering – in using the Internet to involve and support volunteers. The videos are focused on staff – employees or volunteers – who are responsible for recruiting and supporting volunteers at nonprofits, NGOs, charities, government programs and other mission-based initiatives.

Here is the order I recommend you watch my videos in if you want a full, basic orientation in virtual volunteering:

You have my permission to show any one of these videos, or some or all these videos, at any gathering or event of your own – a volunteer management workshop or conference, for instance – however, you must show any video you choose to show in its entirety.

Does this mean there is no need to hire me as a consultant or as a trainer regarding virtual volunteering? I hope that’s not what it means! Rather, I hope It means there’s no need to hire me or anyone else for a basic virtual volunteering workshop. In fact, I would like to see basic virtual volunteering workshops go away entirely, because I think any workshop on, say, the basics of volunteer management, should fully integrate using the Internet to involve and support volunteers. A workshop on retaining volunteers should fully integrate using the internet to support and manage volunteers. A workshop on better recognizing and valuing volunteers should fully integrate using the internet to recognize and valuing volunteers. In short, virtual volunteering shouldn’t be regulated/segregated into a separate topic. It’s long overdue to FULLY integrate using the internet into involving ALL volunteers, even those you don’t think of as “online volunteers.”

What I’m much more interested in doing as a professional consultant is creating workshops or advising, as a paid consultant, on specific aspects of higher-level virtual volunteering, like:

  • online mentoring – considerations for such a program’s setup, setting goals for a program, evaluating such a program, etc.
  • online volunteers with particular skills or expertise training others remotely in something not virtual volunteering related, like public health messaging, teaching online media literacy to elderly people, helping public information officers prevent and respond to misinformation, etc.
  • online communities where people who previously participated in an onsite program advise people currently participating in an onsite program

Are my series of free videos a substitute for purchasing my book, The Last Virtual Volunteering Guidebook? I don’t think so. While my videos will, I hope, win over in last holdouts regarding virtual volunteering (few that they are), and will help programs rapidly, almost immediately, create and expand online activities and roles for online volunteers (something that became essential during the COVID-19 pandemic), the book is an oh-so-much-cheaper way to get intense consulting regarding every aspect virtual volunteering, including more high-impact digital engagement schemes, than to hire me. You will not find a more detailed guide anywhere for working with online volunteers and using the Internet to support and involve all volunteers. It’s available both as a traditional paperback and as an online book. I also think it would be a great resource for anyone doing research regarding virtual volunteering as well. Recruiting board members in the time of social distancing

I don’t believe COVID-19 is going away this month, June, the month that marks the easing of lockdowns all over the USA. That’s why a lot of people – myself included – are going to continue to avoid large groups, even if they are outside, and avoid going inside for any meeting whatsoever, until further notice, regardless of what governments say. It’s very likely lockdown measures will be re-introduced in many places in the Fall, when there is a resurgence in the virus transmission. And all that presents a myriad of problems for nonprofit organizations. And one of those many problems is recruiting board members.

Board members are recruited from cultivating personal contacts, from building relationships with people over time, and this is best done in person – and I say this as an expert in virtual volunteering. Absolutely, you can work with board members online. You can have board meetings online. You can get a LOT done with a board online (and the Virtual Volunteering Guidebook can help). But identifying and recruiting board members entirely online is really difficult. Still, yes, it can be done.

If you are looking for the best place to post online about your board member needs – this isn’t the advice for you, because just posting “We need board members” is not how you get board members.

Instead, first, make sure your web site is rich in information on what your program has accomplished. You want a web site that inspires, not that begs. You want a web site that shows your staff’s credibility and expertise and capabilities for doing the work that needs to be done – not just “We have a good heart.”

If you haven’t established your organization formally yet – your program isn’t yet a nonprofit because, in part, you haven’t recruited a board of directors – then you still start a blog or web site, right now, about the organization you want to start, what it is you want it to achieve, the data that proves it is needed, and profiles of the people currently involved. Your goal is a content-rich site that says, “This is an idea worth supporting,” not “I’m one person, I’m really passionate and I want to do this” or “I’m really desperate for money and support!”

You should have an associated Twitter account and Facebook page for your web site or blog. Use keywords appropriate to your mission and regional focus. Also post links to appropriate Subreddits – communities on Reddit (if your proposed nonprofit is focused on children’s welfare, for instance, find subreddits focused on that. If it’s focused on a specific region, find a subreddit focused on that). Also post to appropriate LinkedIn groups – if your group is focused on protecting wetlands, for instance, try to find LinkedIn groups focused on environmental causes.

Your goal is to create an online presence that either shows you are an established, credible, accomplished organization worth supporting, or, that you are well on your way to having the people and resources in place to make that happen. Here are blogs specifically that can help you further – and to avoid pitfalls in launching a nonprofit or in nonprofit management.

Think about what you want out of new board members. Fundraisers? If you expect board members to raise funds, put that in your board role descriptions. Be upfront about how much you expect board members to raise or to give annually. Note how long you expect a board member to make a commitment to serve – a year? Two? Also state the status of your board liability insurance and the responsibility of the board to keep it current. There are plenty of places online to find sample board member role descriptions. Have the board member roles description on your web site and a way someone could express interest in perhaps being a board member – filling out a volunteer application, sending an email, etc.

By having this clear, robust information online, you will start to attract followers on social media – and, perhaps, online volunteers to help you with further web site development, research, social media management, etc. Invite all local officials – mayor, city council members, county officials, your US Representative, police chief, fire chief, city manager, etc. – to follow you on Twitter and Facebook. If local officials are mostly white men, look for nonprofits and cultural organizations that are focused on women, Black Americans, Latinos, Asians, and any group that represents communities not represented by the culture and ethnicities of elected officials, follow them on social media, comment supportively on what they are doing and ask questions, and make sure they know you care about THEIR work. Look for online events where anyone you might want on your board, or that you want to know about your organization, will be presenting and attend those online. Get all of these people used to hearing from you as an active, involved member of your local community.

Once you have done all of the above – and all of the above takes months – consider having a Zoom, WebEx, Microsoft Teams, Google Talk or whatever online open house, a “ask me anything,” where you and your team are available on a specific day and time, for one hour, to give a brief, inspiring pitch about your program and then you invite questions from the audience. Promote this event via your social media channels, your email newsletter, etc.

Only then are you ready to start your direct board recruitment process: look at the LinkedIn profiles or web sites of people that comment on your posts, that ask you questions, that attend your online open houses and that volunteer – they have shown they are interested in your work. They are your best prospects for board members. Are there people among this group with profiles that make you think they might be a good board member? If so, you can absolutely reach out to such a person personally: an email that says you would like to talk to them about possibly joining the board, a link to the description of what a board member does, and an invitation to a no-obligation talk.

Can you also post to sites like VolunteerMatch to recruit board members? Yes, but you are unlikely to find such that way, especially if you haven’t done all of the above. Again, effective, committed board members come from cultivation, not just an advertisement that you need such.

What we will need for live theater to continue

I’d like to see a nationwide flourishing of the regional theater movement, with local theaters considering how best to earn the title of an essential service in their particular community, while being supported and valued by that community and the government. Some of the most exciting, fulfilling times of my life were working far off stage, working to promote live theatre, live performance, not just marketing a show but promoting the value of all arts to our communities, to social cohesion, to education, to mental health and on and on.

Artists, being artists, are talking about what artistic ventures they want to pursue when performance spaces open again, once the risk of COVID-19 has been drastically reduced, and that’s GREAT… but I’ve been looking for something that makes me say, Okay, there it is, this is what we need to ensure theater emerges from this pandemic with a real, solid future.

I finally read the statement that makes me give something to support and advocate for. Cerveris words stopped me in my tracks. To me, they are what every theater in the USA, and every person that loves theater, needs to work towards. And it has to be more than government support; we have to build relationships with and pressure on the cash-flush corporations all around us to give substantial monetary support to ensure live theater continues.

Get to know your volunteers now on a new level

Most of the articles I’ve read on “tips for working with remote staff during COVID-19 lockdowns” have been way more basic than I need, say what should be obvious (at least to me – like the importance of starting meetings on-time and make sure you use your mute button when you aren’t talking) and really don’t offer much insight into this particular way of working. In short, when I read most of these articles, I say “Meh” and move on.

However, Charity Village in Canada shared 8 Tips for Nonprofit Leaders to Better Support Virtual Teams by Maryann Kerr and it’s outstanding. There are really great suggestions here that every nonprofit and government program needs to read and apply to their interactions with remote staff – I hope more than a few folks are brave enough to send the article to managers, including executive directors, who just aren’t getting what working from home during a pandemic is REALLY like and what their expectations of their staff REALLY should be.

In addition, many of these suggestions are applicable to virtual volunteering. Here are my favorite recommendations from the article that I think you need to be thinking about with your volunteers now as they do more service and interactions online:

Be patient and considerate of the specific challenges of your team. This is both a collective and unique experience for each of us. Some will be home alone and lonely.  Others may be desperate for a moment of peace. Still others may be caring for elderly family members or a combination of all three.

Speak up and don’t skip the hard stuff. This moment in history asks each of us to dig deep and develop our own innate ability to lead. You do not need to hold a position of leadership to act.  Speaking up, on your own behalf, and on behalf of others, is an act of leadership. If you have a concern or question, it is likely shared by others.

Get to know each other on a whole new level. Whether you use Patrick Lencioni’s Personal Histories Exercise or the Clifton Strengths Finder or any number of other team building activities available online and adaptable to a video conference – just do it. Lencioni’s is a favorite because I’ve never seen it fail to improve a team’s understanding of each other. Do team members have hidden talents they’d like to share?  A song, a poem, a musical instrument? A piece of artwork or craft they’d like to show?  You are suddenly in each other’s homes. Use this as an opportunity to see each other as whole human beings not just workers. 

Explore your values as individuals, teams and as an organization. Start with a free Personal Values Assessment  and then facilitate a discussion about what is important to you as individuals and how this is reflected in how you will work together.  Examine how these compare to your stated values as an organization.  How can you ensure you live these values, particularly now?

Successfully working with people remotely is a very human endeavor that people who are amiable, understanding and thoughtful tend to excel in.

And, indeed, that’s proven to be true yet again as millions of people experience remote work amid chaotic or lonely homes.

Bill before US Congress: Pandemic Response & Opportunity Through National Service

A bill in the USA Congress, the Pandemic Response & Opportunity Through National Service Act, would expand AmeriCorps and SeniorCorps to aid in COVID-19 recovery efforts, including growing AmeriCorps to 750,000 positions over a three-year period; boost the AmeriCorps living stipend so that individuals regardless of financial situation can participate; increase the education award to cover up to two years of public university tuition; ramp up Senior Corps teleworking technology, and more. These programs are a part of the Corporation for National and Community Service.

Recruiting Volunteers To Serve in Difficult, Dangerous or Controversial Roles

There are people who want to volunteer in difficult or dangerous roles – it’s what they specifically seek out. Over on the Reddit group regarding voluntourism, as I write this blog, there are lots of messages from people, mostly young people, seeking to help on the “front lines” regarding people affected by COVID-19, either because they are ill or because they are isolated and needing help in lockdowns. Many online recruitment sites, like VolunteerMatch, have curated volunteering opportunities posted on their site that related to COVID-19 in some way, due to overwhelming demand from potential volunteers.

Some volunteering is perceived as difficult by potential volunteers and the general public, because of the clients that volunteers will work with or the kind of activities volunteers must undertake. Examples: serving as a Big Brother/Big Sister, mentoring a foster child, assisting adults with developmental disabilities, volunteering in a shelter for women experiencing domestic violence, or staffing a suicide hotline.

Some volunteering is perceived as difficult AND dangerous, such as fire fighting, search and rescue, volunteering with incarcerated people in a jail or prison or volunteering with people who are formerly-incarcerated.

Some volunteering is perceived as controversial, such as providing water stations in the desert for people entering a country illegally and can die from dehydration, or defending a women’s health clinic patients from protesters, or various protest and activism roles.

Difficult, dangerous and/or controversial roles actually appeal to many people who want to volunteer: they feel strongly about the cause, or they want to do something substantial and challenging. But other roles may seem too intimidating to new recruits, like mentoring a young person going through the foster care system, working with young people in the juvenile justice system, working with people with intellectual disabilities, or working with seniors.
