How long should text be to communicate effectively?

  • How long should a web page be?
  • How long should text on a brochure page be?
  • How long should a press release be?
  • How long should a blog be?

I get these questions fairly often from nonprofits, NGOs, charities and small government offices.

Tweets have a text limit. Facebook posts have a limit on the amount of text you can post that will be seen in your timeline at a glance, without someone having to click “more.” But other communications products, in print and online, don’t have such strict character limits. So, how long should they be when it comes to their text?

A lot of communications professionals will tell you to make web page text, blogs, brochure text, etc., no longer than what would fit into a social media post. I am NOT one of those communications professionals.

I’m hearing people say, “People don’t read. Don’t write long bodies of text EVER, especially online.” I am NOT one of those people.

People have different learning styles: some prefer learning by engaging in an activity, some prefer learning by listening, some prefer to learn by watching, and some prefer to learn by reading.

People have different reading styles as well, even just online: some prefer reading short bits of text and seeing some short videos. But some do still like prefer – and WANT – to read comprehensive text, even if it’s “long.” What is great about a website is that your organization can easily cater to both of those groups: you can have a web page with introductory, summary, “catchy” text, or a video that’s just a minute long and gives the overview you think certain groups want, but that page or video can then link to the more in-depth information for all those many other people that want more information.

It’s worth noting that some people may want a bit of information today, but may come back later for more in-depth information. People rarely stay in exactly the same categories when it comes to how they want to access or consume information.

It’s also worth noting that by having in-depth information on your website, you create the messaging that everyone on your staff can refer back to, and that better ensures everyone is saying the same thing – that everyone is “staying on message.” It means your Executive Director, your receptionist, members of your board, volunteers – EVERYONE – can find the exact wording to describe absolutely everything about your program.

Catering to just one group of people when you are trying to communicate a message is a mistake. Don’t let any communications consultant or marketing manager pressure your organization into creating communications products only for the people that supposedly don’t like to read. Don’t be convinced that you can eliminate all of your long-form communications – you absolutely still need those.

Something New & Innovative? How about something that WORKS?

So often – TOO OFTEN – I hear nonprofits, government initiatives, NGOs, charities and other mission-based programs complaining that they aren’t getting good attendance at their events or program activities, or aren’t getting any press coverage, or don’t have enough volunteers, and so they are looking for something innovative and new in marketing.

But is something innovative and new really what they need?

In my junior year at Western Kentucky University, a million years ago, one of my professors proposed an idea to me: for one of my senior year classes, to fulfill my minor in theater, I could be in charge of marketing the Fall Children’s Theatre series, a then-annual event where three to four student-directed productions were presented, all focused on children audiences. I would get credit for a full senior-level class for such. I had also been working at the local arts center as a marketing intern outside of classes and had a wonderful mentor there who had taught me a lot about getting press coverage – combining this experience with my journalism major and newspaper experience, it was an offer I couldn’t refuse!

I was oh-so-successful at getting kids and their parents to the plays. One performance had to be delayed a few minutes because there were so many kids pouring in from an area kindergarten. We consistently sold out of intermission snacks, filling the coffers of our student theater society. Of course, I got an “A” for my efforts: my professor said they had never had so many full houses for the Fall Children’s Theater series.

Was I innovative in my approach to marketing these shows? No. All I did was the basics:

  • Sent press releases in a timely manner, with complete information, to area newspapers, and the one local TV station, in time to get into their calendar sections.
  • Sent press releases to local schools and kindergartens as early as possible.

That’s it. That’s all I did. And I sent these by mail – there was no Internet in my world back in those days. I had no budget to do anything else. All I did to be so wildly successful was the basics of marketing. And I did the basics WELL. Before my involvement, press releases were never sent, or were sent too late for information to be included in a local newspaper or on TV, or didn’t have complete information.

Before you start looking for something innovative to improve attendance at your events, increase program participants, recruit more volunteers, increase your visibility, etc., look at your current communications:

  • Is information on your web site up-to-date and complete, with answers to Who?, What?, Where?, Why? and When? right in the first paragraph of any information about events?
  • When you post about information on social media, do you make sure it includes Who?, What?, Where? and When? (you may not have enough room on Twitter for Why?)
  • Are you sending press releases and announcements to every area media outlet in your area, including newspapers, radio stations and TV stations watched in your area, in a TIMELY manner?
  • If you have a poster or brochure about the event, are the answers to Who?, What?, Where?, Why? and When? obvious and easy to find/easy to see?
  • Has your up-to-date, complete information been emailed directly to every employee, every consultant and every volunteer at your organization, in a timely manner?

There’s nothing innovative about any of that – but these steps are absolutely fundamental to successful marketing by nonprofits. And often, it’s all that’s needed.

Press relations tip from a person I loathe

There is an activist that I loathe, a spokesperson for causes that go against everything I believe in. When I would hear or see him speak, my blood would boil. I’m not going to say his name because I do not want to give what he stands for any spotlight whatsoever.

Before he passed away, he was everywhere in the media here in the USA: in newspaper articles, in TV programs, on the radio. Some days, I saw him multiple times across networks. And I would seethe and wonder: why do reporters and producers call this man all the time to comment on, well, anything at all? Why do they give him so much attention?

At some point, I heard a press person be asked this very question. And he said something along these lines, “Because he will always, always return our calls, within minutes of our calling. He places a priority on talking to us. Whether it’s national network or a tiny newspaper in a small town, he always talks almost immediately to any press person that asks for an interview or comment.”

It immediately made me think of all the times I told the Executive Director of wherever I was working that some reporter was on the phone, or had emailed, and wanted an interview or comment, and the agency head telling me “I don’t have time” or “I don’t want to” or “Yeah, just give me the info, I’ll call” but she or he never did. I thought of how often I have had to BEG a senior staff member to do a requested interview, how I’ve offered to sit in on the interview and answer any questions the director may not know. And I thought about how, later, after not doing these interview requests, these same people will complain about lack of coverage from the press.

I worked at the Williamstown Theatre Festival for two summers, the second time as the head of publicity, both times pre-Internet, and I got a lot of compliments about how much press coverage I was able to land for the shows. Someone asked me for my “secret”. And it was easy to answer: I treated the press as my customers. I would knock myself to get them absolutely anything they needed, no matter how tight the deadline. I also made sure, before the interview with the famous person, that the reporter had everything about the upcoming show that person would be in, with the key information – what, when, where and how to buy tickets – right up front. Whether it was Entertainment Tonight, the entertainment reporters from CNN, or a tiny community newspaper in Vermont, everyone got immediate callbacks, everyone got complete info, everyone got some kind of access, even if it wasn’t precisely, exactly the access they wanted. And I have to give kudos to the two Executive Directors I worked under, first Nikos Psacharopoulos and then Peter Hunt, both of whom would do absolutely any interview with the press they were asked to do, no matter how crazed they were with final rehearsals, no matter the absolutely horrid mood they were in.

Sure, some reporters were still hostile and wrote the negative stories they had every intention of writing before they ever called me. But for the most part, I really enjoyed working with the media at Williamstown, and I think they really enjoyed working with me, because they saw me as on their side – and never knew all the many things I was hoping they wouldn’t find out about and want to do a story on… I remain grateful that digital cameras nor camera phones existed at that time.

I realize this was more than 20 years ago, but I think it’s still the key to getting press coverage: treating the press as customers and making calling them back quickly a priority. Also, keep sending those “old fashioned” press releases: I still use them for nonprofits I work with, and they still work in getting coverage – or, at least, a mention.

One more lesson: the man I loathed also always had a message, always had something to say. He knew what his central message was for whatever media moment was offered. Some speakers get that naturally, but very often, communications managers have to brief and prep someone before an interview regarding such a central message. Executive Directors: listen to your communications manager, meet with them, work with them, and craft that central message well! The payoff for doing so is enormous.

Nonprofits *are* job creators!

Recently, I heard a man on the TV ranting about why people without private sector experience are bad to serve in government offices. “They’ve never balanced a budget, created a job or had to struggle to make payroll!” he said.

And my head exploded. KAPOW.

When you are working in government, or a nonprofit, balancing budgets and struggling to make payroll is often MOST of what you do!

In the nonprofit and public sectors, the pressure to balance a budget – one that has often been cut drastically with no input from you, the person expected to balance that budget – is far greater than the for-profit/business world. And the struggle to make payroll is something I’ve seen far too often in nonprofit organizations, often because a corporation has slashed its own budgets and cut funding to the organization or initiative that had been promised for months, or a government agency suddenly had its budget cut and, therefore, had to cut the budget of nonprofits it was supporting.

And nonprofit organizations are job creators. Funding nonprofits, which are focused on improving or preserving communities for EVERYONE, are not only job creators, but also, the people that make communities places where people actually want to live and work – which helps those that start businesses. Nonprofits:

  • help improve education (which creates better workers),
  • help preserve and improve environmental health (which helps organic farmers and fishermen have better products)
  • help improve children’s health (which allows parents to have the time to work instead of caring for sick children – time, perhaps, even to start businesses)
  • help promote bicycle use (which helps create more business for bicycle shops, creates more ways for workers to get to their jobs, contributes to a healthier workforce, and creates more parking spaces for cars)
  • build and promote community gardens (which helps those that sell gardening implements and other supplies)
  • fund and manager arts organizations (which create jobs for actors, production staff and administration staff, as well as enhancing the community and making it more attractive to employers to locate businesses there)
  • build, sustain and grow universities and colleges (which train people in various areas of expertise – and these people become workers, even job creators, themselves)

and on and on.

The amount of misinformation being promoted by so many pundits and even elected officials in the USA regarding the realities of the third sector is startling, disheartening and destructive. I have worked primarily in the nonprofit and government sectors, and in those sectors, I most certainly HAVE had to balance budgets, create jobs and struggle to make payroll. In fact, I have had to be far, far more creative with resources and efficient in the use of time and resources than I have ever had to be in a for-profit setting. By contrast, most people I’ve known who have worked primarily in the corporate sector have little understanding of how to do a lot with a limited amount of resources: they can’t believe most nonprofits don’t have fully staff IT departments or the latest computer technologies, and are stunned that volunteers are, in fact, not free at all.

Nonprofits and government agencies have GOT to do a better job of talking about what they accomplish, what it takes to make those accomplishments possible, and how they make those accomplishments happen. Every nonprofit has an obligation to show their transparency and credibility, and to teach the media and general public about the resources and expertise needed to address critical human and environmental needs. The Internet has made it oh-so-easy to do that!

Brag about it

Once upon a time, I was the publicity director at the Williamstown Theatre Festival. I was in charge of all marketing and public relations for this major national summer theatre festival. And believe it or not, merely having Sigourney Weaver or Stockard Channing in a production wasn’t always enough to sell tickets. The Internet was far from mainstream in those days – there wasn’t even a World Wide Web yet (just newsgroups, gopher and what not) – so we were doing all marketing and PR by newspaper (remember those?), radio, TV, posters and postal mailings (oh, those bulk mailings…. I don’t miss those).

A tradition that started many years before I had this role was the brag board: one very large bulletin board in the hall way that lead to the costume department and backstage. I (and every publicity director before me) used it to post any newspaper articles about or mentioning the festival, as well as newspaper advertisements for the festival.

It’s one thing to get print outs of articles, neatly presented in a folder. But that board was a very powerful visual for the work I was doing (supported by some wonderful interns). Too often, people just see a full house and think it somehow happened magically. The brag board was my way to say, “Hey, this is what it takes to get those seats filled.”

That brag board not only reminded my co-workers and supervisors about what I was doing, it also reminded the actors, directors and other artists the importance of doing the press interviews I was asking/would be asking them to do. Some actors get annoyed by being asked to do interviews (Ms. Weaver never was, in case you were wondering). This was my way of reminding the artists just how vital it was for the festival that they say yes to publicity activities.

That brag board was internal marketing. And it’s why I had a great summer as publicity director – because everyone knew what I did, and they valued it.

For a few years after that, I forgot that important lesson about internal marketing: I assumed the head of the organization, the heads of other departments, the receptionist, and others knew what I was doing because it was so clearly presented online. It’s all there, on the Internet – everyone sees that, right? It took a woman I admired tremendously, who always made me feel valued at her organization, to take me aside one day and remind me of the importance of internally marketing yourself. It’s of vital importance that you communicate to everyone at your organization about your role, what you do, and what the results of your work are – otherwise, you will find your budget being reduced, your department staff getting cut – and maybe even see your job get eliminated.

Having your work so prominent online, or among your professional associations, is NOT enough to ensure your role is valued at the organization that employs you.

Create a brag board. Put up copies of newspaper articles, blog posts, emails, a compilation of tweet mentions – anything that shows your organization is getting noticed or lauded. Print out and post photos on it that your volunteers are taking while volunteering and posting online. Put the board in a break room or hallway – a high traffic area where employees, consultants, volunteers and visitors will see it – or, if that doesn’t get approved, in your office. Keep it neat, well-organized, and frequently updated!

Keep forwarding links and emails to all staff – hey, look at this! – but don’t ever let that be a substitute for a big visual representation of the work you are doing.

Use the LinkedIn Events Function!

A followup to my recent blog about using Facebook to promote events.

Your nonprofit organization, non-governmental organization (NGO), school, government agency or other mission-based program is missing another BIG outreach opportunity for its events if you are not also listing your public events on LinkedIn as well as Facebook.

If your organization is hosting a conference, an open house, a class, a volunteer orientation or other public event, these need to be listed on LinkedIn. Unlike Facebook, which is a social networking site, LinkedIn is a professional networking site: people are linked by their connections through work or volunteering – and that means you reach people with particular skill sets or professional associations when an employee, volunteer, conference attendee, etc. notes his or her attendance to your event on LinkedIn.

Your employees should feel quite comfortable noting their attendance to your organization’s events, since the activity is a part of their job rather than their social life. Volunteers should also be encouraged to acknowledge their attendance via LinkedIn to events you have posted there. 

Make it clear if RSVPing via LinkedIn is or is NOT the official way to RSVP; attendees may still have to RSVP through traditional channels (filling out an online form on your web site, calling the organization, paying a registration fee, etc.). Also make it clear how public the event is; if someone needs to already be a volunteer that has gone through an orientation, or a registered student, or a registered conference attendee, note that on the LinkedIn posting.

This is all easy to do – and it’s a great online volunteering assignment: an online volunteer can input all of this month’s, or this year’s, information for you. The only requirement for you is that you provide that volunteer very detailed information about your events, and you review the information after the volunteer has uploaded it, to ensure the information is correct.

When I’m going to attend a conference, or present a workshop, I really like showing that attendance on LinkedIn – it’s a way to show how busy I am, what I’m doing, etc., as well as to encourage professional and volunteer colleagues to attend as well. Often, I have to create the event myself, because no one from the organization has listed it already. What a missed opportunity for these organizations! So, just as I said regarding using Facebook to publicize events: get busy! And keep your info up-to-date!
