keep volunteer info up-to-date or else

logoI really cannot emphasize enough the importance of keeping your records regarding volunteers up-to-date…

“Ada” was a volunteer for two years with a very-well known national organization’s state affiliate. She was very active with the organization in that time, taking on a number of high-responsibility roles and helping to increase the number of attendees at local events. But a conflict with an employee lead Ada to end her volunteering. There was no dramatic departure: she simply stopped taking on new volunteering tasks, stopped attending volunteer meetings, and let her membership lapse. Not one person from the agency contacted her to say, “Hey, where’d you go?!?” Ada always assumed they hadn’t noticed – or were happy that she was gone. A year after she left the organization, she moved to a city almost two hours away.

Imagine Ada’s surprise when, three years after she left the organization, she gets a very friendly email from the director of individual giving from the organization, talking about something that happened in the town where she used to live. The email wasn’t addressed to anyone specifically, such as “Dear volunteers in such-and-such town”, but given the informal, chatty nature of the email, it was obvious that that’s who it was supposed to be going to. As Ada had been gone from the organization for three years, didn’t live in the city mentioned anymore, and had never heard of the person that was writing her this oh-so-chatty email, she was shocked. And a bit put off.

“They didn’t even notice when I didn’t renew my membership and I stopped volunteering,” she said. “And now, three years later, they write me as though we’re the best of friends?”

By not noticing the departure of this volunteer, by not updating its database to reflect that she had withdrawn, and by contacting someone who obviously had disengaged with the program for quite a while now with a message that made it seem like they were still involved and happy with the organization, this organization now has an even more entrenched negative reputation as being incompetent and/or insensitive with this volunteer. Ada may bring this up to her Facebook friends. She may bring it up in social gatherings with friends and family. She may bring it up to co-workers. And it’s that kind of word-of-mouth experience that people really, really listen to.

Marketing staff: either help promote volunteer engagement or GET OUT OF THE WAY

logoMy blog today is actually for public relations and marketing staff at nonprofits, rather than those managers of volunteer programs. And my message is this: either help promote your organization’s volunteer engagement OR GET OUT OF THE WAY. I talk to people managing their organization’s volunteer engagement activities – recruiting volunteers, supporting those volunteers, creating the majority of opportunities for those volunteers, helping other staff engage with those volunteers in their work, etc. – and among the many complaints I hear about challenges to their success is this one: the public relations and marketing staff won’t support me. Those leading volunteer engagement at your organization need a variety of support from marketing and public relations staff:
  • in using the organization’s Facebook page, blog, web site and other online activities to recruit volunteers and tout the accomplishments of such
  • in reaching out to the media about what volunteers are doing
  • in connecting media to those working with volunteers at the organization when the media says they want to do a story about volunteerism
  • in understanding when volunteers are doing something particularly special or innovative, or staff working with such are, such that it would be worthy of external attention (or internal attention, for that matter)
  • in including information about the organization’s volunteer engagement in all traditional publications, including paper newsletters and annual reports
  • in talking about volunteer engagement as more than just the monetary value of volunteer hours
Yet, I hear from staff again and again that the outreach staff won’t create a link on the home page to information on volunteering (though they will regarding donating money, no problem!), that they won’t include any volunteer-related messages on Facebook, that they won’t use any photos from a recent volunteer engagement event in outreach materials, and that they will include information about volunteerism in the annual report only regarding the monetary value of the volunteer time given. Public relations and marketing staff: if you are not going to create a detailed strategy for supporting your organization’s engagement of volunteers through all of your various outreach methods, then let the manager of that engagement do it him or herself, and stay out of the way as they execute that strategy. If you aren’t going to include information about volunteer recruitment and accomplishment in social media channels as often as you do about fundraising campaigns, then say nothing as staff in charge of managing volunteers at your organization create their own blogs, web sites, Facebook pages, Twitter accounts and Instagram or Flickr accounts to share the information they want out. What would be FAR better than forcing managers of volunteers to do marketing and public relations on their own? If you, public relations and marketing staff, sat down with the staff that work with volunteers at your organization and said, “How can I support you? Tell me what you’re doing. Let’s meet once a month and talk about it.” What you might find is that, instead of additional work, you get much-needed information to raise your organization’s profile online and in the media. Maybe volunteers are taking amazing photos of your organization’s work that you could use in a variety of ways. Perhaps there is a really marvelous story waiting for you to discover: maybe your organization is engaging in virtual volunteering in some really innovative ways, or is involving someone as an online volunteer who could never do so onsite. Maybe some hot current trend, like micro volunteering, is happening at your organization but you don’t even know it. Maybe volunteer engagement has helped your organization engage with communities or demographics you never would have reached otherwise. An organization that involves volunteers can be seen as more transparent and open to the community than one that doesn’t – are you leveraging that image properly in your outreach work? No more excuses, public relations and marketing staff: support your staff that recruit and engage with volunteers – or get out of the way and let them do their own publicity themselves. When Board Members (& other volunteers) Get in the Way of Much-Needed Change

“While organizations should be grateful to their hardworking board members, too often members overreach and can have a negative impact on decision making. This is especially true when it comes to marketing, design, and communications, disciplines that seem to attract an outsize share of unqualified participation.”

That’s from When Board Members Get in the Way of a Great Redesign by   for The Chronicle of Philanthropy, and it’s terrific. It not only shows what this interference can look like, it also talks about how to reduce the chances that a board member will derail a well-thought out, well-researched, much-needed strategy for social media, virtual volunteering, better financial management, adoption of new software, a logo change, and on and on. In fact, the advice is excellent for working with long-term volunteers as well, volunteers who may be resistant to change regarding policies and cherished-but-outdated practices.

Before you chastise nonprofits for their supposed lack of use of new technologies, you might want to do your homework first. If you had, you would have been overwhelmed with examples of nonprofit groups, large and small, using social-media tools. As the Chronicle of Philanthropy pointed out in its rebuttal of your blog, “shows nonprofit groups are actually well ahead of businesses in their use of social-media tools such as Twitter, Facebook, and blogs.”

So what if there are no charities in the top 100 twitter users in terms of followers? The number of followers is NO determination of success that a message is really creating change, any more than number of cars passing a billboard or number of visitors to a web site. Big numbers of viewers does NOT equal big numbers of donors, big numbers of changed behavior, big numbers of event attendees, etc. If there are nonprofits out there who are turning Twitter followers, FaceBook followers, web site visitors, or email newsletter subscribers into volunteers, donors, clients or other supporters, good for them and who cares whether or not they are in the “top 100” group?

But what really infuriates me is your comment “The opportunities online are basically free, and if you don’t have a ton of volunteers happy to help you, then you’re not working on something important enough.” Here’s something you should know: volunteers are NEVER free. Never. Volunteers have to be screened, interviewed, trained and supervised, just like a consultant you hire to do something like manage online activities. That *time* costs *money*. So, yes, resources ARE an issue, particularly when you have corporate donors that balk at the idea of funding a volunteer manager.

Sorry if I sound upset, but I am. Another corporate guy mocking nonprofits, throwing around a lot of ignorant comments. Same old same old. Some paradigms never change. Meanwhile, nonprofits will plug along and keep doing really exciting, worthwhile things, online and off, and they will all be here, doing amazing things, when you’re long gone.

Reminds me of the 1990s, when all sorts of corporate folks did the same chastising regarding nonprofits’ perceived lack of use of the Web and email. Funny: so many of those hot new start ups those people represented are gone, but the nonprofits are still here.

Terrific resources you’re missing from Twitter

I share a LOT of information on Twitter: info on effective nonprofit communications, management or engagement of volunteers, job leads with leading nonprofit and humanitarian organizations, funding leads, updates on UN initiatives in Afghanistan, Ukraine, or anywhere else I care about (and I care about a LOT of places), and more. Often, it’s information I don’t share anywhere else.

I hear a lot of people say they don’t use Twitter because they “don’t want all the text messages.” They don’t realize that you do NOT have to receive tweets via text messaging – that hasn’t been true for many years. I read Twitter via my lap top or my smart phone, primarily – most people do. Also, you don’t have to follow everyone you find interesting – you can add people to different lists and view content when YOU want to (here are my Twitter lists, to give you an idea of how it can work).

Tweets from UNDP Ukraine’s Social Good #inno4dev summit

I had the pleasure of live-tweeting the United Nations Development Programme (UNDP) Ukraine office’s recent Social Good #inno4dev / #2030now summit, highlighting the many excellent tech-for-good initiatives happening all over Ukraine.

Tweets were tagged with #uatech4good, which I’m hoping will catch on as a tag for any tech4good initiative in Ukraine that tweets about their work, including those with no UN-affiliation. If you have a computer, app, Internet or other tech-related projects helping people or causes in Ukraine, please use the #uatech4good tag when you talk about it, so we can know about it!

I hope that, for next year, UNDP Ukraine can do something much more ambitious and interactive, that will produce tech4good results by the end of the day, such as any of these activities:

  • A hackathon to build simple, easy-to-manage web sites for NGOs in Ukraine that don’t have a web presence, or need their web sites improved, AND that there is a commitment to make the web sites accessible for people using assistive technologies, ala the Accessibility Internet Rallies by Knowbiliy.org in Austin, Texas – thereby not only creating web sites, but creating awareness re: the needs of people with disabilities on the Internet.
  • An edit-a-thon to improve information on the Ukrainian version of Wikipedia regarding various development issues: HIV/AIDs, women’s empowerment, women’s history, vaccinations, migrants, etc.
  • A workshop about online volunteering for local civil society organizations, and following such, brainstorming with these civil society organizations about ways they could start involving online volunteers right away, and then having onsite volunteers help NGO representatives register on the UN’s online volunteering service and start recruiting for at least one online volunteering task.
  • Workshops on free and open source software (FOSS), how NGOs and civil society can use social media, how government agencies can use social media, etc. how videos can deliver messages that can positively influence/change people’s behavior, etc. (with lots examples from Ukraine), etc.
  • Dispersing IT volunteers throughout the city to help the elderly, women, refugees and other learn how to use particular computer or mobile phone tools.
  • A roundtable discussion – inviting everyone in the room to participate as well – regarding what needs to happen to ensure tech4good initiatives in Ukraine flourish, rather than disappear after just a few days, weeks or months.

My favorite parts of the Social Good Summit preparations and day of the event for Ukraine:

  • This tweet from Robert Rosenthal, regarding a blog I wrote several days ago about how the first UN team I was a part of tried to get the UN excited about various Internet tools, including handheld tech, for use in development way back in 2001.
  • Seeing my Ukrainian friends Artem and Dmytro walk into the room for the Kyiv event – I had gotten to invite them at the last minute, and was really hoping they would be able to present regarding their E+ initiative, which stated as an all-volunteer, spontaneous effort to get urgently-needed medical care for injured Maidan protesters back in January 2014. Initiative E+ continues to help those injured during the Maidan 2014 protests with long-term care, but now has branched out to manage programs for the children of Maidan victims, to provide Ukrainian soldiers injured in fighting in the East with pharmaceuticals and financial support the greatly-weakened Ukrainian government is unable to provide, and to help the children of military veterans. You can read about their activities on the E+ Facebook page  or on this E+ initiative page in EnglishIndeed, Dmytro got to present a bit regarding their initiative (thanks to UNDP for making that happen!).
  • Having a delightful exchange on Facebook with a colleague from Kyrgyzstan that I worked with in Afghanistan, regarding Social Good events by UNDP in his country.

As a group of internet-based applications, social media (Web 2.0 technologies) allow individuals to create, update, and exchange content. They also help facilitate the development of social networks in an interactive way. Compared to traditional websites (Web 1.0 technologies), given their stakeholder engagement, community building, and mobilization potential, social media can better help nonprofits accomplish their goals and fulfill their missions. Given the dearth of empirical evidence available, systematic investigations are needed to better understand social media adoption, utilization, and consequences in the nonprofit sector.

Objectives of the Special Issue:
This special issue seeks to contribute to the discourse among researchers and practitioners on the antecedents and consequences of social media adoption and utilization in the nonprofit sector. That is, what are the internal and external environmental factors that affect social media adoption and utilization in nonprofits? What are the impacts of social media adoption and implementation both within and outside nonprofit organizations? Quantitative cross-sectional or longitudinal studies using secondary data or original surveys are preferred. Qualitative multi-case or mixed-methods studies are also welcomed.

The editors invite systematic investigations on social media adoption and utilization in nonprofits providing services in areas, such as: education, healthcare, social services, environmental protection, advocacy, public awareness, human and civil rights, and so forth. Good Housekeeping UK Flubs Virtual Volunteering story

One of the reasons I created the list of myths about virtual volunteering was because of journalists who kept writing articles that did not reflect the realities of online service. They loved to say “this is so new!” and that “it’s great if you don’t have time!”, for instance – despite virtual volunteering starting in the 1970s with the advent of the Internet and all volunteering, online or off, taking real time. I ask every journalist that calls me to read those myths before they interview me – and I can always tell if they have or not. 

I have been in positions to develop assignments for online volunteers and to recruit and support volunteers in those assignments since 1994. When I lose volunteers in virtual assignments – the ones that disappear with their assignment undone – the excuse is almost always the same: I didn’t realize how much time this would take. Never mind that I tell all volunteers, up front, how much an assignment might take – and often, it’s a micro assignment, taking just minutes a day or a week. But even a few minutes a day, just once, is A FEW MINUTES A DAY.

This article by Good Housekeeping UK is representative of what so many journalists get wrong about virtual volunteering. Not only does this article claim the practice is new (it’s more than 30 years old), not only do they think it’s great for people that don’t have much time (most virtual volunteering assignments take just as much time as onsite volunteering assignments, just without the need to travel and park), and they think the terms micro volunteering and virtual volunteering are inter-changeable – they just can’t get it that, while micro volunteering online IS virtual volunteering, not all virtual volunteering is “micro.” You know, like group volunteering is volunteering, but not all volunteering is group volunteering.

The magazine even highlights one of my favorite initiatives, the online mentoring program Infinite Family, and then brands it as micro volunteering – despite the program requiring volunteers to make an ongoing commitment of several hours regularly – because that’s what kids deserve, not just a few minutes here or there that a volunteer might be able to spare.

You want to do a story on JUST micro volunteering? Great. Here are some initiatives you can mention:

Carnamah Historical Society virtual volunteering initiative (Australia) – Online volunteers help with transcription and indexing projects to make historical records more discoverable and searchable.

ebird database, supporting the National Audubon Society. You go “birding” or bird-watching, observing birds with your eye or binoculars, and then enter into the database when, where, and how you went birding, completing a checklist of all the birds seen and heard during the outing

Help From Home has a mix of volunteering activities you can do from home, both online and without a computer.

Koodonation, part of Sparked / Extraordinaries, hosts a database of online microvolunteering assignments (tasks that can be completed in around an hour or two online) in support of different nonprofit organizations. Both nonprofits and volunteers must register on the site to view microvolunteering assignments.

NetSquared, an initiative of TechSoup, is a place where nonprofits, corporations, government agencies, NGOs and individuals propose ideas that involve “the intersection of technology and social impact.” Anyone is welcomed to comment on the proposed projects on the site, and there are often opportunities to vote on which projects should receive funding.

Smithsonian Digital Volunteer program. The Smithsonian seeks to engage the public in making its collections more accessible. “We’re working hand-in-hand with digital volunteers to transcribe historic documents and collection records to facilitate research and excite the learning in everyone.” Transcription turns handwritten and typed documents into searchable and machine-readable resources, creating an incredibly valuable asset for art, history, literary and scientific researchers across the globe.

TechSoup has a series of discussion groups where nonprofits ask questions about technology. You can log into the community at any time and try to help nonprofits and volunteers with questions about software, databases and more. TechSoup also needs people to transcribe its most popular archived webinars (requires that you listen to the pre-recorded webinar and type what is said, re-listening as you need to in order to capture what is being said). 

Wikipedia, the largest online volunteering initiative in the world. To volunteer, you simply find an article you have some knowledge of and add information to the entry. 

And that’s just the virtual volunteering that is “micro” – there’s LOTS more virtual volunteering assignments that allow you to take on leadership roles, manage an entire project, work as a team with other online volunteers, build relationships with other people, and more. Growing backlash against volunteerism?

I first learned of people being against volunteerism back in 1997, when a three-day bipartisan presidential summit aimed at boosting volunteerism and community service efforts across the USA kicked off in Philadelphia.  I was directing the Virtual Volunteering Project at the time. There were arguments from both the far-right and the far-left, and I did my best to compile them. When I would bring up these arguments at various volunteerism conferences or on online groups, my colleagues usually just scoffed – it’s just extremists, it’s not something we need to worry about. 

Since then, I’ve kept an eye on these arguments against volunteerism, because I feel strongly that the arguments must be addressed. Organizations recruiting volunteers need to have these arguments in mind when they are crafting recruitment messages and when they are talking about the value of volunteers. When organizations ignore these arguments against volunteerism, or deny them, they end up with dysfunctional volunteer engagement programs, lack of support for volunteer engagement and, sometimes, very pad PR.

This came to mind over the weekend when I saw this comment in a friend’s Facebook feed:

I’d rather find the means of capitalization and pay people to do the work at hand than to bother with the volunteer work ethic or ability. I was never more personally insulted than as the president of the board of my church.

If you are talking about volunteer involvement as a way to save money, and volunteer contributions in terms of monetary value, then you are part of the problem – you are creating the fuel for these political arguments against volunteerism. And if you are not asking volunteers why they are leaving your organization, and addressing those reasons, you are creating ex-volunteers who are sharing their views with friends and colleagues and further creating a bad image not just for your organization, but for volunteering as a whole.

Who Takes the Lead on Exploration of Tech at a Mission-Based Org?

IT managers and IT consultants play an essential role in helping mission-based organizations – nonprofits, non-governmental organizations (NGOs), government agencies, community groups, etc. – to use technology to meet the goals of the organization.

That said, however, an IT manager is not always the best person to lead at a mission-based organization regarding what Internet, computer and smart phone tools an organization or department should be using.

When I first began encouraging organizations to explore the possibilities of virtual volunteering back in the mid 1990s, many of the outspoken critics of virtual volunteering were IT managers at nonprofit and government agencies. Many IT managers were not supporters – they were OBSTACLES. The same was true when I began promoting accessibility as a fundamental element of web site design a little while later. In both cases, IT managers threw up a variety of arguments as to why neither of these strategies were worthwhile for mission-based organizations, almost all relating to cost or security and they expressed great fear at the “vast” amounts of work that pursuing either of these activities would cause them and the organization. Some IT managers even went so far as to tell managers of volunteers they were not allowed to involve volunteers via the Internet.

Thank goodness so many managers at mission-based organizations explored technology issues on their own, and became experts in their own right regarding how virtual volunteering, web accessibility, and other tech-related practices could be used in their organizations and could benefit their clients, employees and volunteers. I worked with many nonprofit managers, particularly managers of volunteer, helping them to develop counter arguments to IT managers reluctance to let them explore the use of various ICT tools in their jobs. The drive to use the Internet and computers to work with volunteers, as well as to make nonprofit web sites to be accessible for people with disabilities, has been lead by NON IT staff!

That isn’t to say that all ICT consultants and managers try to block the exploration and use of ICTs in nonprofit activities. Many have been quite supportive of mission-based staff’s exploration and use of ICTs – and, indeed, of virtual volunteering and accessibility. But the reality is that ICT consultants and managers need to work directly with nonprofit staff that are managing client programs, managing HR, managing volunteers, and so forth in making tech-related decisions TOGETHER. They need to listen to the organization’s volunteers as well. IT managers need to listen and to support these employees and volunteers in exploring tech that could help them in their work with the organization.

Many publications have tackled the subject of how to address non-IT staff resistance at mission-based organizations to using Internet and computer technologies. Let’s explore the other side of this issue: how have you, as a non-IT staff person at a mission-based organization, overcome IT staff or consultant resistance to things like:

  • installing and supporting your use of a database program or other software that you feel that you need in your job
  • involving volunteers via the Internet, including having interactive features on your web site for volunteers
  • making your web site accessible for people with disabilities or others using assistive technology
  • exploring the use of Linux or Open Source technologies at your organization
