Good Housekeeping UK Flubs Virtual Volunteering story

One of the reasons I created the list of myths about virtual volunteering was because of journalists who kept writing articles that did not reflect the realities of online service. They loved to say “this is so new!” and that “it’s great if you don’t have time!”, for instance – despite virtual volunteering starting in the 1970s with the advent of the Internet and all volunteering, online or off, taking real time. I ask every journalist that calls me to read those myths before they interview me – and I can always tell if they have or not. 

I have been in positions to develop assignments for online volunteers and to recruit and support volunteers in those assignments since 1994. When I lose volunteers in virtual assignments – the ones that disappear with their assignment undone – the excuse is almost always the same: I didn’t realize how much time this would take. Never mind that I tell all volunteers, up front, how much an assignment might take – and often, it’s a micro assignment, taking just minutes a day or a week. But even a few minutes a day, just once, is A FEW MINUTES A DAY.

This article by Good Housekeeping UK is representative of what so many journalists get wrong about virtual volunteering. Not only does this article claim the practice is new (it’s more than 30 years old), not only do they think it’s great for people that don’t have much time (most virtual volunteering assignments take just as much time as onsite volunteering assignments, just without the need to travel and park), and they think the terms micro volunteering and virtual volunteering are inter-changeable – they just can’t get it that, while micro volunteering online IS virtual volunteering, not all virtual volunteering is “micro.” You know, like group volunteering is volunteering, but not all volunteering is group volunteering.

The magazine even highlights one of my favorite initiatives, the online mentoring program Infinite Family, and then brands it as micro volunteering – despite the program requiring volunteers to make an ongoing commitment of several hours regularly – because that’s what kids deserve, not just a few minutes here or there that a volunteer might be able to spare.

You want to do a story on JUST micro volunteering? Great. Here are some initiatives you can mention:

Carnamah Historical Society virtual volunteering initiative (Australia) – Online volunteers help with transcription and indexing projects to make historical records more discoverable and searchable.

ebird database, supporting the National Audubon Society. You go “birding” or bird-watching, observing birds with your eye or binoculars, and then enter into the database when, where, and how you went birding, completing a checklist of all the birds seen and heard during the outing

Help From Home has a mix of volunteering activities you can do from home, both online and without a computer.

Koodonation, part of Sparked / Extraordinaries, hosts a database of online microvolunteering assignments (tasks that can be completed in around an hour or two online) in support of different nonprofit organizations. Both nonprofits and volunteers must register on the site to view microvolunteering assignments.

NetSquared, an initiative of TechSoup, is a place where nonprofits, corporations, government agencies, NGOs and individuals propose ideas that involve “the intersection of technology and social impact.” Anyone is welcomed to comment on the proposed projects on the site, and there are often opportunities to vote on which projects should receive funding.

Smithsonian Digital Volunteer program. The Smithsonian seeks to engage the public in making its collections more accessible. “We’re working hand-in-hand with digital volunteers to transcribe historic documents and collection records to facilitate research and excite the learning in everyone.” Transcription turns handwritten and typed documents into searchable and machine-readable resources, creating an incredibly valuable asset for art, history, literary and scientific researchers across the globe.

TechSoup has a series of discussion groups where nonprofits ask questions about technology. You can log into the community at any time and try to help nonprofits and volunteers with questions about software, databases and more. TechSoup also needs people to transcribe its most popular archived webinars (requires that you listen to the pre-recorded webinar and type what is said, re-listening as you need to in order to capture what is being said). 

Wikipedia, the largest online volunteering initiative in the world. To volunteer, you simply find an article you have some knowledge of and add information to the entry. 

And that’s just the virtual volunteering that is “micro” – there’s LOTS more virtual volunteering assignments that allow you to take on leadership roles, manage an entire project, work as a team with other online volunteers, build relationships with other people, and more. I have many links to various initiatives you can get involved with here.

Yes, research microvolunteering, however…

I was oh-so-excited when I read that the Institute for Volunteering Research in the UK is going to be undertaking a project to research microvolunteering, a form of online volunteering/virtual volunteering that’s been around for many, many years – long before there were smart phones.

But I was oh-so-disappointed to see that IVR’s project will be focused only on microvolunteering from the volunteers’ point of view.

The hype regarding microvolunteering, a form of online volunteering, is similar to the excitement a few years ago regarding family volunteering. That excitement regarding family volunteering translated into lots of campaigns to encourage families to volunteer together, rather than helping organizations get the knowledge and resources necessary to create volunteering opportunities that entire families could undertake. The result was, and is, a lot of very frustrated families who want to volunteer, but cannot find opportunities. I see the same thing happening with microvolunteering – far more organizations and media articles encouraging people to try it, rather than resources to help organizations to be able to create microvolunteering opportunities and support volunteers in these roles.

What’s needed – desperately needed – is research about microvolunteering from the *organizations’* point of view, specifically:

  • what kinds of organizations are creating microvolunteering assignments (in terms of the mission of the organizations, whether or not they have a staff member devoted to managing volunteers, the level of tech-saviness of staff, etc.)?
  • what kinds of microvolunteering assignments are most popular with volunteers? (which attract the largest numbers of volunteers, or seem to always attract at least some volunteers)
  • what kinds of volunteer management practices are necessary to ensure microvolunteering assignments are completed such that they are of value to the organization?
  • how is success measured by organizations regarding microvolunteering assignments? (is it just in number of volunteers that were involved or the amount of work done? Or do some organizations track different measures, such as volunteers’ perceptions changed, volunteers’ awareness built, volunteers signing on to longer-term projects, volunteers becoming donors, etc.?)
  • what are the challenges to organizations creating microvolunteering assignments and to effectively supporting volunteers undertaking such assignments?
  • when microvolunteering doesn’t work, from the organization’s perspective (it has no real impact on the organization, the volunteers don’t go on to become more longer-term volunteers, donors, other kinds of supporters, it’s a lot of work for very little, real return, etc.), *why* doesn’t it work?

Unless researchers try to get answers to these types of questions, unless microvolunteering research is focused on organizations themselves, rather than just volunteers, more organizations won’t create more microvolunteering assignments – and more potential volunteers will be frustrated when they get excited to participate in something that actually isn’t available to them.

Transcribe & caption!

Captioning a video, or offering a transcription of a video or podcast, should be a priority for your organization. Why?
    • Many people that don’t have time to watch that video or listen to that podcast DO have time to read the transcript.
    • Many people are in an environment that would not allow them to listen to a podcast or online video (their surroundings are too loud, they would disturb people around them, they can’t use headphones or ear buds for some reason, etc.).
    • Many people want to quote from a video or podcast in something they are writing (and if that’s online, that quote will often link back to the original broadcast).
    • A person may just need very specific information, and a text search makes that information oh-so-easy to find.
    • Some people prefer reading to listening or watching (I’m one of those people); they are much more likely to access your information in text form than a video or audio.
  • And, of course, so people with hearing impairments can access the information.
In short, you greatly increase the number of audience members for a video or podcast, reaching more potential donors, volunteers, clients and others, by captioning a video or offering a transcription of a video or podcast. At minimum,
  • Any video or audio training materials you have should be captioned and/or transcribed.
  • All PSAs you want to be distributed widely should be captioned and/or transcribed.
  • Videos and podcasts that are part of your service delivery should be captioned and/or transcribed.
Think you don’t have the resources to caption or transcribe a video or podcast? You do: volunteers. There are online volunteers who would love to transcribe your audios and videos. These volunteers may have speech recognition/voice recognition software that they can use to convert spoken words to text, or they may be willing to listen and type. Either way, you will want volunteers checking up on other volunteers’ transcriptions and captioning, to ensure information is rendered correctly. Keep such volunteer transcribing assignments small: you might have trouble finding a volunteer to transcribe a two-hour-long panel discussion, but it might be much easier to find someone to transcribe just a 10 minute excerpt. If a video or podcast is particularly long, you could divide the transcribing or captioning job up among several volunteers. You might even be able to find a volunteer who would happily lead up the entire project for your organization – leadership volunteering opportunities are highly sought by many people these days! Recruit these volunteers from among your existing volunteers and their networks, via your web site, via VolunteerMatch and AllforGood if you are in the USA, Idealist and whatever resources are available in your country, or, if you are in a developing country or your NGO or nonprofit is focused on such: the UN’s Online Volunteering service. December 21, 2017 update: I recently created a five-minute pitch video for the OpenAIR hackathon – the Accessibility Internet Rally – for Knowbility, a nonprofit based in Austin, Texas (I’m in Portland, Oregon). I also used the YouTube captioning tool for the first time ever – I couldn’t believe how easy it was! If I can figure it out, anyone can – including online volunteers you might recruit to caption all of the videos your nonprofit has on YouTube already.

A reminder yet again that The Last Virtual Volunteering Guidebook provides detailed advice on creating assignments for online volunteers and for working with online volunteers, including volunteers that are going to transcribe or correct the transcriptions of your videos or podcasts. Microvolunteering is virtual volunteering

Imagine if I announced that a one-day beach clean up, or a one-day walk-a-thon, that brought hundreds or thousands of people together for one-off service in support of a nonprofit organization or cause, wasn’t really volunteering. Imagine if I said it isn’t volunteering because most of the participants who are donating their time and service aren’t screened, aren’t interviewed, aren’t background-checked, and aren’t trained beyond maybe a 10 minute speech about things to keep in mind during the experience. Imagine if I also said it was because most participants may never volunteer again with that organization or for the cause.

Imagine if I claimed that people who sewed or knitted items from their home, in their spare time, for some nonprofit group helping kids in hospitals or people suffering from a particular disease, weren’t really volunteers. They also aren’t screened the way most other volunteers are, aren’t background-checked, and usually have no deadline for their work – they get it done when they get it done, if at all.

I would look ridiculous to make such claims. The volunteer management community would laugh me out of the workshop or conference (or the conference hotel bar, as the case may be). Or off the Intertubes.

Of course all of these activities are volunteering. In fact, they are all MICROvolunteering, without a computer! (most volunteer managers call such episodic volunteering, but the new name is much snazzier)

The folks behind the microvolunteering movement The Extraordinaries (though their web site is now called Sparked.com) continue to try to say microvolunteering isn’t virtual volunteering. Which is as preposterous as me claiming those other one-off volunteering gigs like one-day beach clean ups aren’t really volunteering. Of course microvolunteering is virtual volunteering: it’s unpaid, donated service in support of nonprofit organizations, provided via a computer or handheld device. How much time it may or may not take, and how volunteers are or aren’t screened or supported, is immaterial.

I’ve had an ongoing battle with the people behind the Extraordinaires for a while now. They burst online a few years ago, claiming that there was no need for traditional volunteering, or traditional volunteer management, because everything nonprofits need by online volunteers can be done through what they were calling microvolunteering: people who volunteered for just a few minutes at a time whenever they might get an inclination to help, from wherever they were. Web sites would be built. Topics would be researched. Logos would be designed. Marketing plans would be written. Children would be mentored. All by people waiting for a plane or during time outs at sporting events. No need to make time to volunteer — just volunteer whenever you have some spare time, even if that’s just for a minute or two.

I challenged them on various blogs and the ARNOVA discussion group, pointing out that, indeed, microvolunteering can work for some tasks – and I had been saying so since the late 1990s, when I called the practice byte-sized volunteering – but most certainly not for mentoring a child (online or face-to-face, mentoring is effective only if its a long-term, ongoing commitment that builds trust – something I learned when working with the National Mentoring Partnership in launching their standards for online mentoring) and many other activities undertaken by community-serving organizations. I pointed out that microvolunteering most definitely can work for something like logo design — which, in fact, I wrote about back in 2006, per the first NetSquared conference that highlighted several examples of such. But I also pointed out that successful volunteer engagement isn’t about just getting work done; it is, in fact, about relationship-building — recruiting people who could turn into donors, for instance, or raising awareness and changing behaviors — and it’s also about reserving certain tasks for volunteers specifically, because some tasks are actually best done by volunteers.

This recent blog shows that some of those arguments are starting to seep into their thinking – Hurrah! – but they still need to evolve their concept. They are right to point out that microvolunteering doesn’t employ some volunteer management techniques in the same way as other volunteering, but they just can’t get their mind around the fact that LOTS of volunteering doesn’t, like a one-day beach clean up doesn’t. But that doesn’t somehow negate microvolunteering as volunteering, or as virtual volunteering.

Volunteer management and support must be adjusted for a wide variety of volunteering scenarios, online and off; while there are certain fundamentals of volunteer management that are always the same for all volunteering, online or offline, microvolunteering or longer-term, such as capturing volunteer contact info, ensuring volunteers are invited to future opportunities, thanking volunteers for their contributions and showing volunteers how their service has been of value, other aspects of volunteer management have to be tailored to the unique situation, and that does, indeed, mean not recruiting micro-volunteers the same way as long-term volunteers, on or offline. 

In addition to their continued refusal to accept that, indeed, microvolunteering is virtual volunteering, they also continue to make some other misguided statements, such as:

With microvolunteering, ‘You hire EVERY volunteer.’ The end result gets better as more people work on and peer-review your project. You turn no-one away.

You do NOT hire every volunteer in a microvolunteering or crowd-sourcing project. In fact, you reject MOST of them — for a logo design, for instance, most people’s ideas are rejected – most ideas are not used. For open source software design that allows anyone to contribute to the code, not every submission gets included in the released version. It doesn’t mean those volunteering efforts aren’t appreciated and that you shouldn’t thank them and celebrate such, but the reality is that you are not going to use most of the work submitted for such a crowd-sourcing endeavor.

And as for their comment that The end result gets better as more people work on and peer-review your project, I could point to dozens of pages on Wikipedia that have gotten worse as more people have worked on them. The idea that more volunteers automatically means better is something that only someone who does not work with volunteers regularly — particularly online volunteers — would say.

If they want to claim that microvolunteering is the coolest form of virtual volunteering, or even the coolest form of volunteering, I wouldn’t be quite so passionate in my arguments – what’s coolest is, ofcourse, entirely subjective. Of course, I’d still argue that it wasn’t — I’d be speaking as a person who has been both a long-term online volunteer and a micro-volunteer, and has recruited and managed both kinds of online volunteers. To me, mircrovolunteering is like a one-night stand: interesting/fun in the moment, but then quickly forgotten. Um, not that I know what a one-night stand is… Such might lead to something more substantial, but usually, it won’t – and that means it’s not for everyone.

But this fact Ben and Jacob will have to eventually accept: microvolunteering, online, is virtual volunteering. And it’s been going on long before the Extraordinaires showed up. Proposing that it isn’t creates only confusion, segregates them from terrific conversations and resources and networks, and holds them back from the full success they could have with their efforts; accepting that they are part of virtual volunteering would open many more opportunities for their endeavor and ensure their long-term success.
